Finance Assistant

Job Overview:

The Financial Assistant will support the finance department by managing daily accounting tasks, assisting with preparing purchase orders, processing invoices and payments, and ensuring the accuracy and timeliness of financial records. The role ensures that the company's financial operations run smoothly and comply with accounting principles and regulations.

Key Responsibilities:

  • Accounts Payable (Trade Creditors, GAPP-I, and Foreign)
  • Process purchase orders, invoices, and payments in a timely manner.
  • Monitor and reconcile accounts payable.
  • Prepare and circulate the monthly logistic fee schedule.
  • Follow up on invoices and statements from suppliers.
  • Maintain accrual schedules (logistic fees).

Accounts Receivable:

  • Invoice sales orders and send monthly statements before the 3rd of each month.
  • Provide customers with copies of sales invoices as needed.
  • Allocate debtor receipts and manage credit control.
  • Address customer queries related to invoices and statements.
  • Request remittances and follow up on outstanding invoices within 3 days.
  • Participate in the monthly debtors meeting on the 15th of each month.

Financial Reporting:

  • Prepare daily sales reports.
  • Assist in preparing monthly, quarterly, and annual financial reports.
  • Support budget forecasts and variance analysis.
  • Maintain accurate financial records and transactions.

Bank Reconciliation:

  • Assist with bank reconciliations.

Data Entry and Document Management:

  • Maintain accurate financial data in accounting software.
  • Ensure organized record-keeping of all financial documents.
  • File and archive financial records.

Expense Management:

  • Allocate and reconcile fleet and credit card statements.
  • Distribute fleet and credit card statements to relevant employees.
  • Ensure expenses are approved by relevant department heads and processed accurately.
  • Conduct a monthly analysis of fleet and cash expenses.
  • Prepare reimbursement schedules and submit them before the 10th of each month.
  • Ensure compliance with company policies and budgets.
  • Report any unusual expenses to the Finance Manager.

Support to Auditors:

  • Provide auditors with required documents and financial records.
  • Assist the Finance Manager in audit preparation.

Qualification Requirements:

Degree in Finance, Accounting, or related field (or relevant experience).

Skills Required:

  • Proficient in financial software and Microsoft Excel.
  • Strong attention to detail and organizational skills.
  • Accuracy.
  • Demonstrate ability to thrive in high-pressure environments and consistently meet tight deadlines.
  • Excellent written and verbal communication skills.
  • Cultivate and sustain interdepartmental relationships
